Terms and Conditions
Last updated 22nd September 2026
These terms apply to your use of SpendSnapper, the website and app operated by SpendSnapper Ltd, a company registered in England and Wales (company number 16499932) with its registered office at 27 Old Gloucester Street, London WC1N 3AX. By creating an account you agree to them.
The service
SpendSnapper reads the purchase invoices, receipts and credit notes you upload, proposes a description, account code and tax rate for each line, and submits the result to your accounting package when you choose to. The service is intended for businesses and is not offered to consumers.
Your account
You must give accurate details when you create an account and keep them up to date. You are responsible for keeping your password secure and for everything done under your account. If you invite staff or share a connection with another account, you are responsible for what they do with the access you give them. Tell us at once if you think your account has been used without your permission.
Credits and payment
Every business is entitled to one free trial. Every account starts with a number of free credits. One credit is used for each document processed, however many pages or lines it has. After the free credits are used, you can subscribe to a monthly plan that provides a set number of credits each month. Unused credits expire at the end of each monthly period.
Plans are billed monthly in advance by card through Stripe, our payment provider. Prices are shown on the website in pounds sterling and exclude VAT where it applies. You can change plan or cancel at any time from the subscription page. An upgrade takes effect immediately. A downgrade or cancellation takes effect at the end of the current monthly period, and you keep your credits until then. We do not give refunds for partly used periods.
We may change our prices. We will give you at least 30 days notice by email before a price change affects you.
Checking the results
SpendSnapper uses artificial intelligence and proprietary algorithms to read and code your documents. It is accurate most of the time, but it can make mistakes, and it may not read every document. You are responsible for reviewing the descriptions, account codes and tax rates before you submit a document to your accounting package, and for the accuracy of your own accounts and tax returns. SpendSnapper does not provide accounting, tax or legal advice.
Your documents
You keep ownership of the documents you upload and the data in them. You give us permission to process them, including sending them to the AI providers and accounting packages described in our Privacy Policy, in order to provide the service. You confirm that you have the right to upload each document and to let the people you share a connection with see it, where their access allows them to see documents uploaded by others.
Data protection
Your documents may contain personal information about your staff, customers and suppliers. For that information you are the data controller and we are your data processor. We process it only to provide the service and on your instructions, keep it secure, use only the service providers described in our Privacy Policy, help you respond to requests from the people it concerns, and delete it when your account closes, as described in the Privacy Policy. Our Privacy Policy also explains how we handle your own account information, for which we are the controller.
Acceptable use
You must not use SpendSnapper to break the law, to upload material that is unlawful or that you have no right to use, to attempt to gain access to other accounts or to our systems, to interfere with the service, or to resell it without our written agreement. We may suspend or close an account that breaks these terms.
Availability and changes
We aim to keep SpendSnapper available at all times but cannot guarantee it. We may need to take it offline for maintenance, and it depends on third parties such as AI providers and accounting packages that we do not control. We may change or withdraw features, and will tell you in advance if a change materially reduces the service you pay for.
Liability
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law.
Subject to that, we are not liable for any loss of profit, revenue, business or data, or for any indirect or consequential loss, arising from your use of SpendSnapper, including loss caused by inaccurate reading or coding of a document. Our total liability to you in any twelve month period is limited to the amount you paid us in that period.
Ending your account
You can close your account at any time. We may close your account with 30 days notice, or immediately if you break these terms. When an account closes, your data is handled as described in our Privacy Policy.
General
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute. If any part of these terms is found to be unenforceable, the rest continues to apply. We may update these terms and will tell you by email or with a notice in the app before significant changes take effect.
